Cross-listing Terminology 

Cross-listing has two different meanings: 

  • Scheduling: cross-listed sections are those combined by the Scheduling Office and represent multiple CRNs taught on the same day and time by the same instructor.  One primary example is when multiple levels of a course are being taught together.  This differs from linking two separate CRNs taught at different times, such as linking a support course to the primary course. In this scenario, the student would see this on the corequisite tab in the schedule on the CRN detail screen. 
  • Canvas: Cross-listing in Canvas consolidates multiple sections of the same course into a single course shell for the faculty member's convenience. The Canvas cross-listing tool is enabled from 2 weeks before the beginning of the regular semester through the end of the first week of the regular semester. Course Settings can be changed to separate Discussions to maintain FERPA standards. Read more about Canvas cross-listing.  
Summer Grade Submission Deadlines & Attendance Tracking 
  • Submission Deadline: Faculty can submit summer grades through Bear Cub Hub immediately following the last day of class. Complete all final grades and necessary adjustments by 11:59 p.m. on Friday, August 14
  • Student Viewability: Final grades will not be visible to students until Admissions & Records (A&R) finishes end-of-semester processing over the weekend following the submission deadline. 
  • Final Date of Attendance Requirement: Faculty must now enter a Final Date of Attendance/Participation for any student receiving a non-passing grade. This documentation supports A&R with student petitions and grade appeals and ensures District compliance with state and federal Financial Aid reporting requirements. 
  • Post-Deadline Grade Changes: Once A&R processes grades, any subsequent updates require an electronic Grade Change Form. A&R will process updates within 3–5 business days of receiving the form.

Bear Cub Hub Support and Training

In addition to updating the sis.santarosa.edu website, the Distance Education team will be offering the following Bear Cub Hub support and training options: 

  • Live recorded training (August 11, 10:00-11:00 am). The recorded training will be approx. 20 minutes, followed by unrecorded Q&A 
  • Canvas Course Step-by-Step 
    • This self-paced training will walk you through the basics of the Cub Hub: login, navigation, accessing rosters, sending class emails, how waitlists work, how to add/drop, census, and submitting grades. Self-Enroll here
  • Drop-In Banner Support 
    Monday-Friday (August 10-21, 10:00 -11:00 am and 3:00-4:00 pm 
    No drop-ins on PDA Day: August 14

What's Improving

Repeat Course Registration – Fixed 

The issue causing an increase in repeat petitions, inaccurate repeat reports, and registration difficulties for some students has been corrected. Eligible students should now be able to register for repeat courses without submitting a repeat petition. 

  

Student Health / Medicat Integration 

Initial reports indicate that Banner and Medicat, SRJC’s medical records system, are communicating successfully. This allows Student Health staff to locate students more easily without requesting additional identifying information and allows students to make their own appointments, making scheduling simpler and more efficient. 

  

Waitlist Information for Students 

The Student FAQ now includes “How do I check my position on a waitlist?”, giving students a clearer way to find this information themselves. 

 

 Pass/No Pass Grading Option 
 

A previous issue that prevented some courses from offering the Pass/No Pass option has now been remedied.  Students can now update their grade mode for fall courses up to the last day of instruction.  A similar previous issue for summer courses has also been corrected.

Placement & Prerequisite Troubleshooting 

Student Services, Counseling, and IT are working to clarify placement display and prerequisite issues affecting student registration.  

  

Course & Term Start Dates 

Incorrect term start dates have been reported in the course date display. Follow-up is underway to make sure all course start dates are listed correctly.  

  

Financial Aid & Student Accounts 

Card readers are now operational in multiple locations. Small-scale financial aid disbursements are planned to begin next week, with BankMobile integration targeted to go live next week while testing continues.

Students Needing Help with Registration or Enrollment 

Faculty and staff are urged to refer students to the WCC so they can receive personalized support from our team. Direct students to the Welcome and Connect Center (WCC), where Student Services staff can assist with SRJC applications, registration, adding or dropping classes, navigating Banner, and connecting students with campus resources. 

  

Welcome and Connect Center Hours 

  

Santa Rosa WCC: Monday–Thursday, 8:00 a.m.–5:00 p.m.; Friday, 8:00 a.m.–1:00 p.m. (Closed Fridays during June and July). 

  

Petaluma WCC: Monday, Tuesday, and Thursday, 8:00 a.m.–5:00 p.m.; Wednesday, 8:00 a.m.–7:00 p.m.; Friday, 8:00 a.m.– 5:00 p.m. (Closed Fridays during June and July). 

  

SRJC Roseland WCC: Monday–Thursday, 8:00 a.m.– 7:00 p.m.; Friday, 8:00 a.m.– 1:00 p.m. (Closed Fridays during June and July). 

Santa Rosa Rock Enroll Lab & Bear Cub Hub Support 

Additional in-person registration and Bear Cub Hub support will be provided in the Bertolini Dining Commons from July 28 through August 27.

The Central Hub The SIS Transition website remains the central hub for updates, training resources, FAQs, and troubleshooting information. If you have a question not answered in the FAQs, please submit it using the Ask a Question Form under Get Help. 
Faculty Self-Service Bear Cub Hub replaced the SIS Faculty portal. Faculty should review the Faculty Self-Service Quick Guide and become familiar with the Bear Cub Hub portal
Student Canvas Access Students gain access to Canvas once they are officially enrolled in the course. Due to FERPA regulations, students on the waitlist are not and cannot be added to the Canvas course. 
Prerequisite IssuesIf students cannot register because of prerequisites, please direct them to Counseling
Waitlists & Authorization (Add) Codes Faculty can provide authorization (add) codes to students beginning on the first day of class. Expect student questions regarding waitlists and authorization codes during the first week of the term.
