Thank you for your continued patience and partnership as we work through the final stages of the Banner implementation. Please review the latest updates, noting that the following represents new information only. 

 

Do your students need help with registration or enrollment?

Please refer students to the Welcome and Connect Centers, where Student Services staff can assist with SRJC applications, registration, adding or dropping classes, navigating Banner, and connecting students with campus resources. We are available in person, via Zoom, and via email, phone, and text.

Additionally, we will hold drop-in Rock Enroll and Bear Cub Hub support sessions from July 28 through August 28 to help students navigate their Bear Cub Hub as the fall semester starts. More details to follow!

Canvas Cross-listing

Because Banner does not have a cross-listing tool, faculty will now cross-list their courses using the native Canvas tool.  This tool will be available 2 weeks before the first day of each semester through the end of the first week of the regular semester.  For Fall 2026, this window will be August 3-21.  Since cross-listing erases the "child" course, this limited window of availability is designed to reduce accidental loss of student grades and work.

If you are planning to cross-list your Canvas courses and would like to begin working on your course content now, select one course shell to serve as the "parent" shell and develop your content there.  For more information, please see the Distance Education cross-listing information page or the Canvas Guide on Cross-Listing. If you have a complex cross-listing situation and would like to consult with Distance Education about it, please send an email to DEsupport@santrosa.edu.

Bear Cub Hub Support and Training

The Distance Education team will be offering the following Bear Cub Hub support and training options:

Live recorded training (August 11, 10:00-11:00 am)

  • The recorded training will be approximately 20 minutes, followed by unrecorded Q&A
  • The recording will be posted on the sis.santarosa.edu site
  • Register for this live training

 

Canvas Course Step-by-Step

  • This self-enroll Canvas course will cover login, navigation, accessing rosters, sending class emails, how waitlists work, how to add/drop, census, and submitting grades.
  • It will be available beginning July 20 (link will be in DE newsletter)

 

Drop-In Banner Support

  • Monday-Friday (August 10-21, 10:00-11:00 am and 3:00-4:00 pm)
    • No drop-ins on PDA Day: August 14

Grade Submissions

Mid-term Grades

  • Midterm grades used for the evaluation of student progress shall be issued in accordance with regulations established by the faculty and the District. Instructors shall notify students at mid-semester regarding their progress toward successful completion of the course objectives. Midterm grades cannot be entered using the Bear Cub Hub.

Final Grades

  • If a student needs to be dropped before submitting grades, send an email with student names and ID numbers to registrar@santarosa.edu.
  • After clicking on the Faculty Self-Service Card, select Grade Entry from your dashboard, choose your course, and enter grades for each student.
  • This will take you to My Courses. Click on the white space for the row of the course you wish to submit grades for.
  • To enter the final grade, use the dropdown menu to select the last attended date, and enter the grade details for each student in the Narrative Grade Comment (optional).
    • NOTE: you can now choose to assign an Incomplete grade (IB, IC, IPP, INP) without needing to submit an Incomplete Form. The only exception is if you want to assign an Incomplete after the deadline for grade submissions.
  • Click SAVE to save your current work. Once all grades have been entered, clicking SAVE will finalize the submissions.
  • After A&R runs their end-of-semester processing, students will be able to see their grades in the Bear Cub Hub student portal.

 

Canvas Grades:

  • A tool to move grades from your Canvas gradebook to the Bear Cub Hub grade submission page will become available soon.

Students Needing Help with Registration or Enrollment

Faculty and staff are urged to refer students to the WCC so they can receive personalized support from our team. Direct students to the Welcome and Connect Center (WCC), where Student Services staff can assist with applying to SRJC, registration, adding or dropping classes, navigating Banner, and connecting students with campus resources.

Welcome and Connect Center Hours

Santa Rosa WCC: Monday–Thursday, 8:00 a.m.–5:00 p.m.; Friday, 8:00 a.m.–1:00 p.m. (Closed Fridays during June and July).

Portal Session Timeouts & Reloading IssuesTimeout Update: Portal and system session timeouts have been extended from 15 minutes to one hour. This change aims to strike a balance between maintaining strict security standards and preventing students from being timed out while completing registration or navigating student portals.
Student Gmail Account Management Policy

New Policy Guidelines: Gmail accounts are given only for officially registered students at the time of their first registration.  Until that occurs, emails are sent to the personal email address they listed in their CCC Apply Application.

Upcoming Off-boarding: An upcoming off-boarding process is being developed for inactive accounts that do not meet these registration requirements. Additional details on the timeline and communication plans will be shared.

Student Financial Services Operations

Student Financial Services is beginning the scheduled processing and packaging of financial aid awards for the upcoming academic terms within our new Banner Financial Aid module. 

Student Inquiries: If students reach out with questions regarding their financial aid status, please reassure them that processing is underway. Staff are actively working through the system setups to ensure student awards are calculated and distributed as smoothly as possible for the start of the semester.

Student Parking Permits

Purchasing Location: Students looking to purchase their parking permits in person must do so at the Accounting Office in Bailey Hall (Santa Rosa) or the Welcome & Connect Center (Petaluma).

Please note that in-person parking permit sales are no longer being processed in Plover Hall in Santa Rosa. If students inquire, please direct them to Bailey Hall to complete their transaction.

Document MergesWe are continuing to learn Banner's document merge process. At this time, document merges take longer than expected because they require coordination among several departments, including Accounting, Financial Aid, Information Technology, and Distance Education.
Official TranscriptsWe are still configuring transcript processing in Banner. At this time, we are unable to produce official transcripts that include Summer 2026 or Fall 2026 in-progress coursework. We anticipate this functionality will be available by the end of August. In addition, IGETC certification has not yet been configured in Banner.
FERPA Student Proxy AuthorizationThe FERPA Student Proxy authorization process has not yet been migrated from the TEST environment to Production. As a result, this functionality is not yet available.
End-of-Semester Processing & Faculty Grade SubmissionAdmissions & Records is awaiting training on End-of-Semester Processing (ESP) and the faculty grading process in Banner. Once ESP has been implemented, we will also need the electronic Grade Change Form that was available in our previous faculty portal to be implemented in Banner.

Waitlist Notification Issue

 

We are currently experiencing a technical issue with Banner's waitlist notification process.

When a student has approximately two hours remaining in their 24-hour registration window, Banner is prematurely notifying the next student on the waitlist. If the original student enrolls during the remainder of their registration window, the newly notified student receives an error stating that no seats are available. Unfortunately, that student's registration window then expires unless another seat opens.

Because Admissions & Records cannot enroll students beyond a course's capacity, affected students should contact the instructor to request an add code, if appropriate, until Ellucian resolves the issue.

Students Experiencing Enrollment Challenges

Some students may encounter enrollment issues, including:

  • Former dual enrollment students receiving a message that they must submit a dual enrollment form.
  • Students who selected Undeclared as their major receiving an error indicating they are noncredit students.

If you encounter students experiencing either of these issues, please refer them to Admissions & Records or the Welcome & Connect Center for assistance.

Students Who Submitted an Application but Haven't Heard from the College

If a student reports submitting an application but has not received a response, it is typically due to one of the following:

  • They did not complete the required ID.me or DMV identity verification in CCCApply before submitting their application. They should either:
    • Visit the Welcome & Connect Center in person with a valid photo ID.
    • Schedule a Zoom appointment with the Welcome & Connect Center to verify their identity.
    • Complete the required identity verification in CCCApply and notify Admissions & Records of the completion date.
  • Their application is awaiting staff review due to an automated processing checkpoint.
  • Their application matched an existing student record and requires manual verification.

Their Welcome email was delivered to their spam or junk folder.

The Central HubThe SIS Transition website remains the central hub for updates, training resources, FAQs, and troubleshooting information. If you have a question not answered in the FAQs, please submit it using the Ask a Question Form under Get Help.
Faculty Self-ServiceBear Cub Hub replaced the SIS Faculty portal. Faculty should review the Faculty Self-Service Quick Guide and become familiar with the Bear Cub Hub portal.
Student Canvas AccessStudents gain access to Canvas once they are officially enrolled in the course. Due to FERPA regulations, students on the waitlist are not and cannot be added to the Canvas course.
Prerequisite IssuesIf students cannot register because of prerequisites, please direct them to Counseling.
Waitlists & Authorization (Add) CodesFaculty can provide authorization (add) codes to students beginning on the first day of class. Expect student questions regarding waitlists and authorization codes during the first week of the term. Time TicketsRegistration is controlled by a Time Ticket. Students must wait until their assigned registration date and time before registering. The Student Time Ticket Training Video is available here.
