| Roster Certification in Banner | A team is currently working to document this process in Banner. Once the documentation is complete, you will find the instructions in the Faculty FAQ. |
| Waitlists in Banner | Waitlists become inactive for students on the first day of that class. At that time, the faculty can provide an Authorization (Add) Code from Banner, and students can use it to register for the course. Faculty can continue to view the waitlist and may choose to use it to inform the order in which they provide Authorization Codes to students. |
| Authorization (Add) Codes in Banner | The Authorization (Add) Code process for both students and faculty is documented on the sis.santarosa.edu website. Please note that faculty will see a gray checkbox next to each Authorization Code, but the codes are still available for use. Once a student has used an Authorization Code to register for the course, their information will appear next to that code, but the checkbox will remain gray. |

| Attendance | If you are teaching a course that requires Positive Attendance tracking, please note that the Banner Attendance tool is not yet functional. Attendance can therefore be tracked in any way you choose, but one option is to export your roster to a spreadsheet in Banner and track it that way. If you are unsure if your class requires Positive Attendance tracking, please contact your dean or chair. |

| Banner Questions | If you have a question about the use of Banner, and you are unable to find an answer on the sis.santarosa.edu website, please go to the Get Help menu at the top of the page and click on Ask a Question. Your question will be answered as soon as possible. NOTE that the college is closed on Thursday and Friday this week, so it will most likely be Monday before a staff person can review and respond. |
Student Services Update
Updates impacting admissions, registration, and student support
| System stability: Recent outage under review | A system issue/outage from last week is still being investigated with Ellucian. Things appeared stable on Monday and Tuesday, but the team is working to identify the root cause to prevent a repeat. |
| Student-facing fixes remain the top priority | Most high-impact items continue to cluster around registration, student self-service, Degree Works, and CCCApply. Troubleshooting and fixes continue to be addressed at weekly meetings with Ellucian and other personnel. |
| Training continues; more sessions planned mid-July | Training is ongoing (including Financial Aid), with additional student-side training being rescheduled for the weeks of July 13 and July 20 so more evaluators can attend. More training will continue as teams move through additional modules. |
| Course registration support materials posted | A new quick guide for registering for courses was finalized and posted. |
| Student communications: Regroup integration work in progress | Work continues to integrate Banner with Regroup (communication software) so that currently enrolled students (including summer-only students) can be reached reliably. |
| Financial Aid: Progress toward 2026–27 readiness | Student Financial Services is close to going live for 2026–27, with continued fine-tuning of award messaging and workflows. A notable win: Promise Grants (CCPGs) for summer are now visible for currently enrolled students, and fall CCPGs should still be showing. |
| Integrations: Several vendor connections nearing go-live | The integrations team reported ongoing work across multiple vendor connections. Some are close to go-live pending clean file transfers, while others (such as Entrata validation) continue to require frequent troubleshooting. |
| Reporting: Work to streamline access and organization is underway | Work continues to complete prioritized reports and to simplify how reports are organized and accessed (including naming conventions so users don’t confuse Banner data with legacy SIS terminology). Teams were reminded that access requests will need clear lists of which reports and which roles need them. |
