Ellucian On-Site Support

This week, Ellucian specialists came to SRJC to work directly with college teams. They spent time with staff in their offices to observe daily work processes, better understand current Banner and Degree Works challenges, and identify where improvements are most needed. Together, SRJC and Ellucian spent the week setting priorities and developing timelines for the work ahead. Over the next several weeks, Ellucian will bring in additional specialists with expertise matched to specific issues. This expanded support will help resolve complex challenges faster and improve the experience for students and employees.

Updates impacting instruction, Canvas, and scheduling

Field Trips Faculty members should submit all field trip requests using the Field Trip/Activity Request Form. You can download this form and access other related materials, such as the Field Trip/Activity Liability Waiver, directly on the Student Life Forms Page. For specific guidance or questions about field trip submissions, please contact your department Dean. 
Restricted Courses Students who attempt to enroll in a restricted course (as indicated in the Restrictions area of the course details) will require a permit override before they can register. Faculty who are contacted by students about this should reach out to their department’s Administrative Assistant or Dean to add the override, then notify the student that they can complete the enrollment process. Once the class start date arrives, students will also need to be given an Authorization (Add) Code to register. 
Bear Cub Hub – Faculty Syllabus Faculty will find a Syllabus option in the Class Details section for each CRN that automatically lists all Learning Objectives for the course. This information is publicly visible and can be used to offer information about the course to prospective students. Note that there is a URL field where you can add a live hyperlink to a webpage/site. If faculty are looking for a way to offer a digital syllabus only to enrolled students, you may consider the Canvas Syllabus feature, which can optionally automatically list all course assignments. 
Authorization (Add) Codes for Newly Added CourseIf you added a course to the Schedule after August 3rd, when authorization codes were generated, you can reach out to Vayta Smith to generate codes for the course. 

Student Services Update

Updates impacting admissions, registration, and student support

Enrollment Deadline Corrections Admissions & Records and Ellucian have begun correcting inaccurate drop-with-refund deadlines in the Fall schedule. Reports are being used to identify affected students and determine appropriate refunds. Several sections have already been corrected, with additional corrections in progress. 
Graduation Application Readiness Work continues regarding the Fall 2026 ADT and graduation application process. Technical issues are being addressed; testing will occur before the application is released to students, and updated Banner application instructions are being prepared. 
Prerequisite Processing Improvements Student Services, Admissions & Records, and the Banner team are investigating cases in which completed coursework does not automatically satisfy enrollment prerequisites. The findings will be used to improve prerequisite processing and reduce registration barriers. 
Degree Works Improvements for AB 928 and Program Updates With support from David Grim, SRJC Programmer Analyst, and Ellucian, SRJC can now customize the Banner data Degree Works uses. This improvement supports local AB 928 review requirements and catalog addendum changes to degree and certificate programs. It also strengthens SRJC’s ability to adapt Degree Audits and Student Education Planning as regulations and initiatives evolve. 
Improved Counseling Coordination A dedicated Banner Counselor liaison role has been established to strengthen communication among Counseling, Admissions & Records, and Banner support teams, improve issue reporting, and coordinate training and support needs. 
Financial Aid and Student Payments Student Financial Services continues to process student aid eligibility and disbursements, while resolving issues involving SAP data, BankMobile, aid requirement completion, and student access to AwardSpring. More than $3.7 million in Pell Grants have been disbursed this fall, nearly the same amount as this time last fall. Student Financial Services is catching up, and future disbursements are expected to follow our regularly scheduled disbursement schedule.  
Student Support System Integrations Work continues on integrations and troubleshooting for student-facing services, including Handshake, Rave Alert, MediCat, Accommodate, and the housing-to-Banner connection

Students Needing Help with Registration or Enrollment 

Faculty and staff are urged to refer students to the WCC so they can receive personalized support from our team. Direct students to the Welcome and Connect Center (WCC), where Student Services staff can assist with applying to SRJC, registration, adding or dropping classes, navigating Banner, and connecting students with campus resources.  

Welcome and Connect Center Hours  

Santa Rosa WCC: Monday–Thursday, 8:00 a.m.–5:00 p.m.; Friday, 8:00 a.m.–1:00 p.m. 

  • Note – evening support is available Wednesdays until 7 PM at the Santa Rosa WCC Annex located in Counseling (2nd Floor, Bertolini)   

Petaluma WCC: Monday, Tuesday, and Thursday, 8:00 a.m.–5:00 p.m.; Wednesday, 8:00 a.m.–7:00 p.m.; Friday, 8:00 a.m.–5:00 p.m. 

SRJC Roseland WCC: Monday–Thursday, 8:00 a.m.–7:00 p.m.; Friday, 8:00 a.m.–1:00 p.m.  

The Central Hub The SIS Transition website remains the central hub for updates, training resources, FAQs, and troubleshooting information. If you have a question not answered in the FAQs, please submit it using the Ask a Question Form under Get Help. 
Faculty Self-Service Bear Cub Hub replaced the SIS Faculty portal. Faculty should review the Faculty Self-Service Quick Guide and become familiar with the Bear Cub Hub portal
Student Canvas Access Students gain access to Canvas once they are officially enrolled in the course. Due to FERPA regulations, students on the waitlist are not allowed to be added to the Canvas course. 
Prerequisite Issues If students cannot register because of prerequisites, please direct them to Counseling.  
Waitlists & Authorization (Add) Codes Faculty can provide authorization (add) codes to students beginning on the first day of class. Expect student questions regarding waitlists and authorization codes during the first week of the term. Time Tickets Registration is controlled by a Time Ticket. Students must wait until their assigned registration date and time before registering. The Student Time Ticket Training Video is available here.
